Moving a Parent to a Luxury Old Age Home in Gurgaon? Your Complete Admission Guide

You have decided your parent needs residential care. Now come the practical questions. What papers do you need? Who checks your parent’s needs? What do you pay before move in? How fast can it happen? This guide answers each one, in the order families usually face them.

Old age home admission in Gurgaon needs ID proof, the latest discharge summary, current prescriptions and an emergency contact. The care team then reviews your parent’s needs and confirms a suitable room. At Gracias Living, a parent can move in the same day from hospital once we have the discharge summary, a clinical assessment and a free room.

This guide covers paid assisted living residences. Each provider sets its own admission rules, so confirm the details with the home you choose.

What documents do you need for old age home admission?

You need four things first: ID proof, recent medical records, an accurate medicine list and emergency contacts. The rest can usually follow. Our team tells you on the first call what we need before move in and what can come later.

  • Identity and age proof. Aadhaar card, passport or another government ID.
  • Recent medical records. Start with the latest discharge summary, current diagnosis reports and any important past history. Older records still help when they explain an ongoing condition.
  • Current prescriptions. Bring the latest prescription and the discharge medicine instructions. Tell us about any dose changes made after that. A pharmacy bill does not show the current dose or timing, so don’t rely on it.
  • Allergies. List any medicine or food allergies clearly.
  • Emergency contacts. One family member we can reach at all times, plus a backup.
  • A recent photograph. A passport size photo for records.

How does the admission assessment work?

The assessment answers one question first: can the residence safely meet your parent’s needs? The medical team reviews the records you share. They look at mobility and transfers, memory and understanding, eating and nutrition, medicine support and help needed with bathing, dressing and toileting.

For a hospital discharge, the team works from the hospital’s own clinical assessment and discharge summary. The care level then decides the room, the support plan and the fee.

This admission review is shorter than a full comprehensive geriatric assessment. Geriatric specialists use that wider process. The British Geriatrics Society describes it as a multidisciplinary process that covers medical, social and functional needs and builds a coordinated care plan.

What do families pay before admission?

You pay a monthly fee, a refundable security deposit for long stays and a refundable petty cash amount. Here is how it works at Gracias Living. Ask for the current rate card and get every figure in writing before you sign.

Item Long stay Short stay (up to 3 weeks)
Monthly fee From ₹66,500 for twin sharing Ask for the short stay rate
Security deposit ₹3,75,000, refundable None
Petty cash ₹25,000, refundable ₹25,000, refundable
Billed separately Physiotherapy, medical tests and a personal caretaker, if you choose one. Residents use their own medicines.

Petty cash covers personal expenses. We keep a clear account of it and refund the unused amount once all expenses are settled. Read the deposit refund terms in your agreement before you sign. Our guide to elder care costs in Gurgaon compares costs across care types.

How fast can admission happen?

It can happen the same day. Three things decide the speed: the medical review, a free room and the admission paperwork. A planned admission moves at your pace. Most families visit first, share records and then fix a move in date.

For a hospital discharge, Gracias Living can admit your parent straight from hospital the same day. We need the hospital’s clinical assessment and discharge summary. We arrange any medical equipment your parent needs within four hours. Our guide on what to do when a parent is discharged in Gurgaon covers that situation in detail.

What is the step by step admission process?

  1. Call or message us. Tell us about your parent’s health, care needs and your timeline.
  2. Visit the residence. See the rooms, meet the team and ask your questions. Come in person if you can.
  3. Share records for review. The medical team reviews your parent’s needs and confirms the care level.
  4. Confirm the room and plan. You receive the care plan, fees and agreement in writing.
  5. Complete the paperwork. Fill the admission form, sign the agreement and pay the fees.
  6. Move in. Bring clothes, toiletries, medicines and any mobility aids.

What happens in the first week?

The first week sets the routine. Our team learns your parent’s habits, meal choices and sleep pattern. We adjust the daily plan around them. You join a family WhatsApp group on day one. Our nurses share medical updates there, and our customer experience team shares daily life updates. Dr. Chitra Anand guides the care team throughout.

Visits and calls from family help a lot in these early days. Your parent settles faster when familiar faces stay close.

Questions families often ask

Can we admit our parent directly from hospital?

Yes. Gracias Living can admit your parent the same day, straight from hospital. We need the hospital’s clinical assessment and discharge summary, and a room must be available.

Our parent does not want to move. What should we do?

Involve your parent in the decision from the start. Listen to the reasons behind the refusal. A visit or a short stay of up to three weeks lets them see daily life here first. A trial stay only works when your parent agrees to it. If memory problems make decisions hard for your parent, speak with their doctor. Take legal advice on who can sign on their behalf.

What if we don’t have complete medical records?

Share whatever you have. Our medical team reviews it and may speak with your parent’s treating doctor to fill the gaps. We confirm admission once we understand your parent’s care needs clearly.

We live abroad. Can we still arrange admission?

Yes. You fill the admission form online, pay the fees online and email us a scan of the signed agreement. We can send an ambulance to pick up your parent. Confirm early who in the family will sign the agreement.

Is the security deposit refundable?

Yes. Long stays carry a refundable security deposit of ₹3,75,000. Short stays of up to three weeks need no security deposit. Both carry a refundable petty cash amount of ₹25,000.

Does my parent need to change doctors?

No. Your parent keeps their own treating doctor, with follow ups in person or by video. In an emergency, we take your parent to the nearest hospital.
